Add crews and assign your team

Crews is where your people and trucks live. The page shows four figures across the top — Crews or equipment, Crews, Active technicians, Stops today and Unassigned today — and that last one is the number worth watching each morning.

A crew is a unit that gets dispatched: a truck and whoever is on it.

  1. Under Crews, add one with a Name and a Vehicle
  2. Name it the way your team refers to it — “Truck 4”, “Install 2” — because that is the label that shows on the schedule board

A new crew shows No technicians assigned until you put someone on it, and None assigned under Equipment until you attach any.

Under Technicians, each person gets a Name, a Role, and a Crew. Leave the crew as Unassigned and they exist without being on a truck, which is right for office staff and salespeople.

This is the part that catches people out. The role you choose decides what that person can be assigned to elsewhere in the app.

The roles are: Project Manager, Sales Rep, Office, Install Crew, Service Tech, Lead Installer, Apprentice.

So if someone is missing from the project manager picker on a job, or cannot be booked for a sales appointment, the answer is almost always their role on this page rather than anything on the job.

Once crews exist they become assignable on the schedule and dispatch board. Unassigned today on this page is the count of stops with nobody on them, so it is the fastest way to see whether tomorrow is actually staffed.

If you use Service areas for online booking, coverage is assigned per person, per area, per weekday — not per crew. A rep covering North Valley on Tuesdays and Thursdays is what makes Tuesday and Thursday slots appear for a North Valley address.

Two consequences worth knowing:

  • Any team member can be assigned to a service area, whatever their role. The role table above does not restrict this.
  • Deactivating a team member removes their area coverage silently. If a zone suddenly offers no booking times, check who is still active on it.
  • Every crew has a vehicle name your team recognises
  • Everyone who needs to be a job’s project manager has a role that allows it
  • Everyone who runs in-home estimates is a Sales Rep or Project Manager
  • Unassigned today is zero, or you know why it is not
